Getting Started with Your SheetXAI Lifetime Deal (LTD) Codes (For purchases before November 2025)

Overview

This guide will walk you through the process of redeeming your SheetXAI Lifetime Deal (LTD) codes and setting up the application for both Google Sheets and Microsoft Excel.

Important: Your SheetXAI LTD includes access to both the Google Sheets and Microsoft Excel versions of SheetXAI. Any email you assign on the redemption page will have lifetime access to both platforms.

Redeeming Your SheetXAI LTD Codes (Updated Process)

SheetXAI has launched a new LTD (Lifetime Deal) code redemption system. Whether you're redeeming codes for the first time or transitioning from the previous system, this guide will walk you through the updated process step by step.

Important: The new redemption system requires different steps depending on whether you've previously redeemed SheetXAI codes. Follow the section that applies to your situation.

Access the New Redemption System

Visit the new redemption website: https://www.sheetxai.com/ltd

For First-Time Users (New to SheetXAI)

If this is your first time redeeming SheetXAI LTD codes, the process is straightforward:

Step-by-Step Instructions

Click Sign Up

  • You'll see the new redemption interface

  • Select the sign-up option since you're creating a new account

Enter Your Information

  • Email Address: Use any email address you prefer

  • Password: Create a secure password for your account

  • LTD Codes: Enter all your codes in the designated field

Submit Your Codes

  • Enter all codes together (separated by new lines if you have multiple)

  • Click to validate and create your account

  • You'll see confirmation of how many seats your codes provide

Assign Your Seats

  • Enter email addresses for each seat you want to assign

  • You can leave seats unassigned if you don't need them immediately

  • Save your assignments

For Existing Users (Previously Redeemed Codes)

If you've previously redeemed SheetXAI codes using the old system, you need to transition to the new system using a specific process:

Critical Requirement: Use an Email That Already Has SheetXAI Access

Important: You must use an email address that currently has active SheetXAI LTD access, not necessarily the email you used to purchase or the email you used for support communications.

How to Find Your Active SheetXAI Email

  • Open Google Sheets or Excel with SheetXAI installed

  • Look for the LTD Badge: You should see an "LTD" indicator in the SheetXAI interface

Check Your Email (Optional):

  • In SheetXAI, type: ///whatsmyemail///

  • This will display the email address currently associated with your SheetXAI access

Step-by-Step Transition Process

Go to the Redemption Site

Enter Your Active SheetXAI Email

  • Email Address: Use the email that currently has SheetXAI access (the one with the LTD badge)

  • Not the email you purchased with

  • Not the email you used for support

  • Only an email that currently shows the LTD badge in SheetXAI

Create Your New Account

  • Password: Create a password for the new redemption system

  • LTD Codes: Enter all your codes (both old and new codes)

  • Submit to validate and create your account

Manage Your Seats

  • You'll see all your available seats, including any previously assigned ones

  • Modify email assignments as needed

  • Add new email addresses for additional seats

  • Save your configuration

Team Account Considerations

If you have a team setup:

  • You can use any team member's email that has SheetXAI access

  • However: Use an email that will remain active and accessible to you

  • Avoid using employee emails that might become inaccessible

Understanding the New System

  • Unified Management: All your LTD codes and seat assignments are managed in one place

  • Flexible Email Assignment: You can assign seats to any email addresses you choose

  • Code Consolidation: Both old and new codes work together in the new system

How It Works

  • Code Validation: The system validates all your codes and calculates total seats

  • Seat Management: You can assign, reassign, or leave seats unassigned

  • Ongoing Access: Return anytime to modify assignments or add new codes

After Account Creation

  • Most users will need to sign up initially rather than sign in

  • Once your account is created, you can sign in normally for future visits

  • The system will remember your seat assignments and code history

Troubleshooting Common Issues

Problem: Can't Find Email with LTD Access

Solution:

  • Check all email accounts where you might have used SheetXAI

  • Look for the LTD badge in the SheetXAI interface

  • Use the ///whatsmyemail/// command to verify the active email

Problem: Codes Not Validating

Solution:

  • Ensure you're entering all codes together

  • Check for any typos in the code entry

  • Make sure you're using an email that currently has SheetXAI access (for existing users)

Problem: Missing Previous Seat Assignments

Solution:

  • Verify you used the correct email (one with current SheetXAI access)

  • Contact support if assignments don't appear after using the correct email

Next Steps After Redemption

  • Verify Seat Assignments: Ensure all intended users have been assigned seats

  • Test Access: Have assigned users verify they can access SheetXAI

  • Bookmark the Management Page: Save the redemption URL for future seat management

  • Keep Codes Safe: Store your LTD codes securely for future reference

Setting Up SheetXAI

After redeeming your codes, you'll need to complete these steps:

1. Get Your API Key (REQUIRED - Unless You Have Assigned Credits)

⚠️ CRITICAL: An API key is REQUIRED for SheetXAI to function. The ONLY exception is if you purchased AppSumo credit addons (5,000 credit packs) AND assigned those credits to your seat in the LTD Manager.

How to Check If You Need an API Key

After installing SheetXAI, check the top of the SheetXAI app interface to see your status:

✅ If you see an "LTD" badge at the top:

  • You NEED to add your own API key (BYOK)
  • Your LTD is active, but you don't have assigned credits
  • Go to Settings and add your API key (see instructions below)

✅ If you see credits (e.g., "500 credits") and hover shows "Your BYOK LTD will activate once you use up all these credits":

  • You DON'T need to add an API key right now
  • You have assigned credits from AppSumo addons
  • You can use SheetXAI with these credits
  • You'll only need to add your own API key when the credits run out

❌ If you see credits (e.g., "500 credits") but hovering doesn't show the "Your BYOK LTD will..." message:

  • You're on a trial account, not your LTD
  • This is what you're on if: You didn't add credits or add an API key, but somehow everything is working—you are most likely on the trial (trial accounts have some credits, which is why the AI is still responding)
  • However, you need to assign your LTD and/or credits to continue using SheetXAI after the trial runs out
  • You need to go to sheetxai.com/ltd to assign your LTD and/or credits to this email
  • To find out what email SheetXAI sees: Type ///whatsmyemail/// (exactly like that with the slashes) in the SheetXAI chat
  • Once you assign the LTD/credits to the correct email, your status will update

Understanding API Keys vs Subscriptions

Important distinction: API keys are not the same as subscriptions.

  • API Keys: You pay per use (pay-as-you-go). You only pay for what you actually use. Most providers charge based on the number of tokens (words/characters) processed. You add credits to your account and they're deducted as you use the service.
  • Subscriptions: Fixed monthly fees regardless of usage. You pay the same amount whether you use the service a little or a lot.

With API keys, you have full control over costs—you can set spending limits, monitor usage, and only pay for what you actually use. This is typically much more cost-effective than subscriptions, especially if your usage varies.

Getting Your API Key

You can use any of these AI providers:

  • OpenRouter - Get your API key from openrouter.ai ⭐ Highly Recommended
    • Why we recommend OpenRouter: No rate limits, access to multiple AI models from different providers, competitive pricing, and excellent reliability
  • OpenAI - Get your API key from platform.openai.com
  • Straico - Get your API key from straico.com
  • Other providers - SheetXAI supports many other AI providers

Recommended AI Models

Choosing the right AI models can significantly impact both cost and quality. Here are our recommendations:

For General Operations (Default Tab - Chatbot):

  1. GPT-4o-mini (Primary - use for ~90% of operations) - Excellent balance of cost and performance
  2. Claude Haiku (Fallback if GPT-4o-mini fails) - Slightly more capable for complex reasoning
  3. Claude Sonnet (Final fallback) - More expensive but handles very complex tasks well

⚠️ Avoid these expensive models: GPT-5 and Claude Opus (extremely expensive, rarely needed)

For Content Generation (Content Tab - SAI Formulas):

  1. Gemini Flash (Primary - highly recommended) - Cheapest option, excellent quality-to-cost ratio
  2. Claude models (Claude Haiku or Claude Sonnet) - Use if you need higher quality content

⚠️ Note: GPT and OpenAI models tend to sound robotic for content generation. We recommend using Gemini Flash or Claude models instead for more natural-sounding content.

This is required for SheetXAI to function (unless you have assigned credits as described above)

2. Install SheetXAI

  • Click the Install SheetXAI button which redirects you to the Google Marketplace

Allow the requested permissions:

  • Access to spreadsheets (required for multi-sheet operations)

  • Permission to send emails (for support requests and email functionality)

  • Permission to run when you're not present (for automations)

  • Access to view country, language, and time zone (for personalization)

3. Join Our Community

Using SheetXAI in Google Sheets

  • Open Google Sheets (sheet.new for a new spreadsheet)

Access SheetXAI via:

  • The sidebar icon

  • Extensions → SheetXAI → Open Chat

Activating the SAI Formula

  • For each new spreadsheet, you'll need to activate the SAI formula

  • Go to Extensions → SheetXAI → Activate SAI Formula

  • This enables the formula functionality seen in our demo videos

Troubleshooting Common Issues

Multiple Account Issues

If you experience account switching problems during setup:

  • Option 1: Sign out of all Google accounts and sign back in, starting with the account you want to use with SheetXAI

  • Option 2 (Recommended): Create a separate Chrome profile for the Google account you want to use with SheetXAI

API Key Setup

How to Access Settings:

  1. Open SheetXAI:

    • In Google Sheets: Go to Extensions → SheetXAI → Open Chat
    • In Excel: Click the SheetXAI tab, then open SheetXAI

  2. Access Settings:

    • Settings is located at the bottom of the SheetXAI chat panel
    • Click Settings to open the settings interface

When prompted for your API key:

  • If using OpenAI, enter your OpenAI API key directly when prompted
  • If using another provider, type "other" exactly, then click Complete Setup
  • Go to Settings (at the bottom of the chat panel) to enter your specific API key (Straico, OpenRouter, etc.)
  • Navigate to the Default tab (for chatbot) or Content tab (for SAI formulas)
  • Select your provider and paste your API key
  • Click Save
